How to Transcribe a Meeting Automatically on Zoom, Google Meet and Teams
Four ways to transcribe meetings automatically: built-in tools, a bot by link, calendar auto-join and in-person capture. Steps for Zoom, Google Meet and Teams.
Quick answer: To transcribe a meeting automatically, connect an AI notetaker to your calendar so a bot joins every scheduled Zoom, Google Meet or Microsoft Teams call, or paste a meeting link to send the bot to a single call. Turn on participant notification, choose who receives the transcript, and the transcript and summary arrive shortly after the meeting ends.
Four ways to get automatic meeting transcripts
| Method | Effort per meeting | Best for | Watch out for |
|---|---|---|---|
| 1. Platform’s built-in transcription or AI notes | Low, if your plan includes it | Single-platform teams, meetings you host | Plan requirements; locked to one platform |
| 2. Send a notetaker bot by link | One paste | Ad-hoc calls, meetings you don’t host | Host may need to admit the bot |
| 3. Calendar auto-join | Zero after setup | Recurring and scheduled meetings | Exclude sensitive meetings |
| 4. Record in person on a phone | One tap | Office meetings, workshops, site visits | Audio quality and placement |
Most teams end up using methods 2 and 3 together, with method 4 for in-room meetings.
Method 1: Built-in platform features
Each major platform now offers some native option, usually tied to paid plans:
- Zoom: AI Companion summaries are included with paid Zoom accounts; the host enables them.
- Google Meet: Gemini’s “Take notes for me” works for Google AI Pro and Ultra subscribers and eligible Workspace customers in meetings they host.
- Microsoft Teams: transcripts where enabled; AI intelligent recap with a Copilot or Teams Premium license.

Method 2: Send a notetaker bot with a link
- In MindNote, open Meeting Transcription and choose New meeting.
- Paste the meeting link (Zoom, Google Meet or Microsoft Teams) and your email.
- Keep participant consent on so attendees are informed.
- Choose post-call delivery: only you, or all participants.
- Click Send bot to meeting. The bot usually takes one to two minutes to join; transcripts typically complete within minutes of the meeting ending.
- Open Past transcripts afterwards and click Add to current note to start editing.
Method 3: Calendar auto-join (set it and forget it)
- In the same Meeting Transcription panel, find Auto-join via calendar.
- Connect your calendar: Google, Microsoft, or Calendly for booked calls (Slack is also listed in the panel as an integration option).
- Confirm consent and delivery defaults.
- From now on, any calendar event with a meeting link gets a bot automatically.
Pro tip: decide in advance which meetings should never be recorded (HR, legal, board, personal) and keep them off the auto-join calendar or remove the bot when they start.
Method 4: In-person meetings
For a meeting room or a client’s office, record on your phone with MindNote’s speech-to-text. Place the phone in the middle of the table, away from laptops’ fans, and ask people to avoid talking over each other. Afterwards, add a photo of the whiteboard; image-to-text puts its contents next to the transcript.
After the transcript: three prompts that do 80% of the work
- “Summarize this meeting in five bullets, then list decisions separately.”
- “Create an action-item table: task, owner, due date.”
- “Draft a recap email for all attendees.”
Then share by link, or export to Word, PDF or Excel.
Getting better transcripts
- Microphones matter more than software. A $30 headset beats a laptop mic across the room.
- Introduce speakers at the start of external calls; names are the most common errors.
- One person speaks at a time. Cross-talk confuses every transcription engine.
- Share agendas with acronyms and fix recurring mistakes with a find-and-replace prompt.
Consent: the non-negotiable step
Automatic doesn’t mean secret. Several US states require all participants’ consent to record, and in the EU and UK recording involves personal data. Keep participant notification on, say it out loud on client calls, and remove the bot if someone objects. More in our guide “Is it legal to record meetings with an AI notetaker?”
